Ready to make your vacation dreams a reality?
Hi there! So you’ve decided on a destination wedding—congratulations! Now, you might be wondering, Where do I even start? Don’t worry, I’ve got you covered with this step-by-step guide.
Step 1: Call Your Travel Advisor
The first step is easy: call your travel advisor. Tell them about your dream wedding—what destinations you’re considering, and how many guests you plan to invite. Your travel advisor is your best friend in this process. They’ll help you navigate the logistics, from choosing a location to booking flights and accommodations.
Step 2: Paint the Perfect Picture
Work closely with your travel advisor to describe your ideal wedding scenario. Whether you want a beach wedding but can’t stand the sand, or a terrace with an ocean view, they’ll help you find the perfect spot. They can suggest locations that meet your specific desires, whether it’s avoiding the heat or finding a pier with no sand.
Step 3: Pick the Perfect Season
Choosing the right season for your wedding is essential in bringing your vision to life. By now, your travel advisor will have narrowed down a few properties that align with your dream destination wedding. The next step is selecting the season and dates, which will allow your advisor to secure room rates and confirm wedding availability with the hotel.
The season you choose can set the tone for your entire celebration. Are you envisioning a romantic sunset wedding, an elegant affair, or a laid-back beach gathering? Each season offers unique advantages:
Winter and Spring: Ideal for elegant weddings, with mild temperatures in the low 70s and a lower chance of rain. These seasons are perfect for outdoor ceremonies where comfort and style are paramount.
Summer and Fall: Perfect for sunset weddings with abundant natural light, creating a warm and inviting atmosphere. These seasons are ideal for large family gatherings and beach photoshoots, though in some locations, you may encounter seaweed.
Fall: A budget-friendly option, though it’s important to consider the potential for rain and the peak of hurricane season.
By choosing the perfect season, you can ensure that every element of your wedding aligns with your dream vision.
Step 4: Set Up Your Room Block
A room block is essential for making the most of your destination wedding. Not only does it guarantee perks for your wedding, but it also ensures that your family and friends have accommodations. Plus, a room block can offer a payment plan, making it easier for everyone to attend.
Step 5: Choose Your Wedding Package
Once you have an idea of how many guests will be attending, and you’ve selected the best destination and hotel, it’s time to choose a wedding package. I recommend selecting a package that maximizes your investment. Many properties offer packages with additional perks like free events, entertainment, or extra decor.
Step 6: Create Your Wedding Mood Board
This step is both fun and challenging. Start by thinking about the season you’ll be getting married in, and select your color scheme accordingly. This will set the tone for your wedding. Next, consider florals—remember, not all flowers are available year-round, so explore various options. Then, think about entertainment. A DJ is a must, but you could also add a happy hour show, a great MC, or even a Carnaval show for that extra flair.
Step 7: Focus on Decor
Most properties will provide the basics: white tablecloths, silverware, and a simple base plate. If you want to elevate your decor, less is often more. Opt for small yet elegant centerpieces, and don’t forget about lighting. A well-decorated sweetheart table can also make a big impact.
Step 8: Meet Your On-Site Wedding Coordinator
About three months before your wedding, you’ll meet your on-site wedding coordinator. This person will introduce you to all the available vendors and help turn your ideas into reality. They’ll guide you through each event, from the Welcome Cocktail and Wedding Ceremony Rehearsal to the Rehearsal Dinner, Ceremony, Cocktail Hour, and Reception.
Step 9: Finalize the Details
Now it’s time to choose your menus, locations, and decor for each event. You can also add special touches, like a taco station, churro station, live dessert station, or even themed bars like a carajillo bar or mezcalinas bar.
Step 10: Meet Your Key Vendors
Finally, you’ll meet the photographer, makeup artist, and videographer. It’s a good idea to check their Instagram and reviews to ensure their style matches your vision. If you prefer to bring your own vendors, make sure to inquire about vendor fees.
Budgeting for Your Dream Wedding
A destination wedding can cost anywhere from $15K to $50K, depending on your preferences and the number of guests (typically 20 to 150). Keep in mind that the more florals and decor you include, the more you’ll spend. But in the end, what your guests will remember most is the joy and happiness you and your partner shared on the dance floor.
With these steps, you’re well on your way to planning the destination wedding of your dreams. Happy planning!
